Lot Tracking and Expiration Control for Supplements

Updated October 2026

Every bottle carries a lot number and an expiration date. We record both when your stock arrives, and the lot follows each bottle onto the order it ships with.

Lot tracking means recording each supplement lot and its expiration date when the stock is received, then recording the lot again on every order it ships with. With that record you can look up your stock by lot. If one lot has a problem, it can be set apart without pulling the whole catalog. We do both at our dock.

Why it matters

Why lot and expiry data matters for a supplement brand

For a warehouse handling dietary supplements, the lot number and the expiration date on each bottle are the two details that count most. Recorded properly at receiving, they make near-dated units easier to catch and a recall easier to narrow down. Recorded loosely, or skipped, they turn the same stock into chargebacks, marketplace penalties and one-star reviews about a bottle that expires next month. Ask any partner how it records them.

The work starts the moment stock arrives. When your product is received into our nutraceutical fulfillment operation, each inbound case is logged with its lot and expiry date as well as its SKU. That record stays with the units right through to the order, and the system notes which lot went out on which order.

At receiving

Recording the lot when stock arrives

A SKU count tells you how many bottles of a product you have. A lot-level count also tells you which bottles: the lot each came from, when that lot expires, and the bin it sits in. In a regulated category where every unit carries a date, only the second kind of count is any use.

At receiving, we record each inbound lot number and its expiration date and tie them to that SKU's count on the shelf. From then on you can look up your stock by SKU, by lot or by expiry date. That is the report you need for an audit, or once a recall is under way. Everything after receiving depends on this step. A warehouse that scans only the SKU barcode at the dock has lost the lot history before the first order ships. We record lot and expiry as a routine part of receiving and inbound QC.

Expiration control

Using the date when an order is picked

A recorded expiry date only helps once it decides which bottle a picker pulls.

When an order comes in, BestOMS, with Deposco behind it, sends the picker to a lot chosen by the rotation rule agreed for your product. That rule is FEFO (first-expired, first-out) or FIFO (first-in, first-out), and the expiry date is checked under either one. Choosing the rule for each product, by expiry date or by arrival date, is the work of our lot, expiry, and FEFO control service.

The same record matters in a recall. Each lot is logged against the orders it shipped on, so the orders that received a problem lot can be looked up directly. Setting the lot aside, keeping the records and telling customers all come after that, and each depends on knowing where the lot went.

The regulations

Where lot and expiry control sits under 21 CFR Part 111

Storing finished supplements isn't manufacturing or co-packing, but it still puts a warehouse under 21 CFR Part 111, the current Good Manufacturing Practice (cGMP) rule for dietary supplements. It also brings FDA food-facility registration, which is a separate thing (our guide to what an FDA-registered facility means for supplements covers it), and a partner should be able to speak to both.

A holding facility is expected to keep records, and lot and expiry data sits at the center of them. Meeting cGMP is the responsibility of the brand on the label, so ask our team to walk you through how your lots would be received, held and recorded.

Questions brands ask about lot and expiry tracking

How do you track lot numbers and expiration dates for supplements?

When your stock arrives, we record each lot number and its expiration date and tie them to that SKU's count on the shelf. When the units ship, the lot is recorded against each order. You can then look up what you hold by SKU, by lot or by expiry date. If one lot turns out to have a problem, the record shows which orders it went out on, so you can deal with that lot alone instead of pulling the whole catalog.

Do you block near-expiry stock from being shipped?

Warehouse systems handle stock past a shelf-life threshold in different ways. Some flag it for a person to review, and others keep it out of picking altogether. Ask a partner which one its system does, who sets the threshold and what happens to a flagged lot. We capture lot and expiry at receiving, and BestOMS, working with the Deposco warehouse system, chooses which of your lots is picked by the rule agreed for each product. You set the near-expiry threshold, and it's worth settling when we set up your account.

What is the difference between SKU-level and lot-level tracking?

SKU-level tracking counts how many units you have. Lot-level tracking also knows which lots they came from, when each lot expires and which bin each one sits in. Supplements are regulated and carry expiry dates, so lot level is the one that works for them. Controlling expiry and running a targeted recall both need the lot, and a SKU count can't tell you that.

Is lot and expiry tracking the same as being cGMP-certified?

No. Holding dietary supplements puts a facility under FDA food-facility registration and the holding sections of 21 CFR Part 111. Lot and expiry control is the recordkeeping those sections lean on, and it isn't a certificate. FDA registration is a filing, and cGMP certification is a separate audit by an outside body. Meeting cGMP is the job of the brand on the label, so ask any partner to show you its lot records.

What happens to near-expiry stock at receiving?

Because the expiry date is recorded at the dock, a person or the system can spot near-dated stock and flag it early, before it turns up on the shelf a picker pulls from. Ask any partner to show you how a flagged lot of your product would be handled, from the dock to the decision on whether it ships.
