Subscription-Box Fulfillment for Supplements

Updated October 2026

Auto-ship refills and curated boxes go out in step with your billing date. Every cycle gets the same lot and expiry check as a one-off order.

Supplement subscription fulfillment means packing and shipping orders that repeat on a schedule, either the same refill each time or a box of several products whose contents change. Each box follows the same lot and expiry rule as any other order, and we time shipments to your billing date.

Two jobs at once

Why a supplement subscription is a different fulfillment job

A supplement subscription asks a warehouse to do two things at once. It has to ship on a repeating schedule, and the products inside carry lot numbers and expiry dates. Most advice on subscription boxes deals only with the schedule. For a supplement brand the dates matter just as much. The rotation and lot records that protect a single order have to hold up on every cycle as the program grows.

Renewals are where a subscription earns its money. When a box arrives late, goes missing, or holds a bottle close to its expiry date, subscribers cancel and the monthly revenue goes with them. A partner has to run the schedule and the kitting well, and it also has to keep the expiry controls of nutraceutical fulfillment in place on each cycle.

Supplement subscriptions usually take one of two forms, and a partner should handle both.

  • Auto-ship refills send the same product on a schedule, such as a monthly protein refill or a 30-day supply of vitamins. The box usually holds one or a few repeat products. The work is keeping to the schedule and rotating stock by expiry on each refill, which makes a bottle near its date easier to catch before it ships.
  • Curated boxes hold several products and change from cycle to cycle, like a sampler of new products or a set built around one goal. Each cycle has its own list of contents. Here the scan of each box matters most, because it is the check for a wrong or missing item.
Every cycle

Lot and expiry control on every cycle

Every renewal is still a supplement order, and it is picked by the same rule as any other. That rule is FEFO when lots arrive out of date order, or FIFO when the order they arrive in matches their expiry order. The expiry date is checked under either one. Month nine of a subscription gets stock chosen exactly the way day one did. When you talk to any partner, ask what its system does with stock below a shelf-life threshold, and who sets that threshold.

Lot records follow the product into the box. We record each lot when it arrives and tie it to the orders it ships on, so if one lot is recalled, you know which subscribers got it. A renewal shipped in a hurry still gets the same lot and expiry checks, set up at receiving through our lot, expiry, and FEFO control service.

Storage works the same way inside a box as outside it. A probiotic or a softgel keeps its own label storage needs when it goes into a subscription, and a box of shelf-stable capsules and tablets brings none (storage by product type). Each sensitive item in a curated box needs the right storage before it is kitted. We store product in dry, ambient space, so a component that needs a held temperature range is one we are not the right fit for.

Kitting

Recurring kitting: how the box gets assembled

Your manufacturer makes and fills the product. We start from the finished, sealed unit, and kitting means putting those sealed units into a box. We don't package raw product.

A subscription box isn't a single item pulled from a shelf. It's a set of several products put together the same way for every subscriber in a cycle, so the work runs like a small assembly line rather than one order at a time. We build each cycle's box from finished, sealed units, along with any branded inserts and packaging, such as a shaker bottle, a sample sachet of a new product, or a welcome or dosing booklet. The box goes through our subscription kitting service as a line we set up once and run again each cycle.

  • New contents each cycle. A curated box changes every cycle, so this month's list of contents differs from last month's. We load the new list for each cycle. Each subscriber's swaps, skips and add-ons go into that cycle's pick list, not the next one's.
  • A scan of the contents. Each box can be scanned as it's assembled. That check is there to catch a swapped flavor or a missing component before the box ships.
  • Expiry rotation during assembly. Dated items going into the box are still pulled by each product's rotation rule. The packer doesn't just grab whichever unit is closest.
Cost

What kitting adds to the cost

Kitting is work on top of receiving, storage, picking and packing, and returns. It covers three things:

  • the labor to put several products into one box
  • the inserts and packaging that go in with them
  • the scan check on what's inside

How much it comes to depends on how many products are in the box and how often you change what goes in. A flat rate per order doesn't capture that.

Subscriptions have one real advantage on cost: you know the demand before the ship date. Most of a cycle's subscribers are committed before the boxes have to be built, and we plan the cycle around that number rather than waiting to see how orders trickle in.

Billing day

Planning for the billing-date rush

Subscription orders come in waves you can see coming. They pile up on the billing or batch-ship date, then go quiet until the next one. We link the renewal schedule to your store and your subscription billing platform, so shipping keeps pace with billing and nobody has to key the schedule in by hand. Renewals that come in before the daily cut-off can ship the same day, like any other order. By ground, our warehouses reach 99.77% of the US in 1-3 days.

Supplement brands run their subscriptions on many different billing platforms. Tell us which one you use, and our team will walk you through how the connection works with it. The kitting itself runs on BestOMS, the same system behind all of our services. If you keep stock in several of our warehouses, each box can leave from the one nearest its subscriber instead of crossing the country first.

Questions about supplement subscriptions

What is subscription-box fulfillment for supplements?

It means packing and shipping supplement orders that repeat on a schedule. Some programs send the same refill every month. Others send a box whose contents change from one cycle to the next. Either way, we time each shipment to your billing date and plan capacity around your billing calendar. Every box is still picked by the lot and expiry rule set for each product inside it.

Do you still apply FEFO and expiry control on every recurring box?

Yes. A renewal is a supplement order like any other, so it is picked by the same rule, FEFO or FIFO, whichever the product calls for, with the expiry date checked either way. We capture each lot and its expiry date at receiving and record them against the orders they ship on, so a long-time subscriber and a first-time buyer get stock chosen the same way. Whoever you work with, ask what their system does with stock that falls below a shelf-life threshold.

How do you handle a curated box whose contents change each cycle?

We load a new parts list for each cycle, so this month's box can hold different products from last month's. A subscriber's swaps, skips and add-ons go into that cycle's pick list. Each box can be scanned as it is assembled, to catch a wrong flavor or a missing item before it ships.

Can you sync the ship cadence to my billing date and plan for the renewal surge?

Yes. We connect to your store and your subscription billing platform, so shipments follow your billing dates without anyone keying in the schedule by hand. Renewal orders arrive in a rush on billing day, but you know that day in advance. We plan capacity for each cycle around the number of subscribers already committed to it. You can also keep stock in several of our warehouses so boxes start out nearer your subscribers.

What does the kitting add to my fulfillment cost?

Assembling a box is work on top of receiving, storage, pick and pack, and returns: the labor to put several products in one box, the inserts and packaging that go with them, and the scan check. How much it adds depends on how many products go in the box and how often the contents change.
